CASE STUDY: ‘OUR NEW FLEET OF PRINTERS HAS CUT COSTS BY 50% WHILE SAVING TIME AND ENERGY’
‘With 1,170 students our printing requirements are pretty heavy. As well as Word documents and PowerPoint presentations, exam boards require colour printing, and art students need top-quality prints in portfolios, meaning as a school we rely heavily on having a working printing system. Our printing fleet consisted of a
mixture of inkjet and laser machines from a variety of manufacturers, which made managing the machines incredibly challenging. Reliability issues were difficult and time-consuming to manage, and our IT team of three were constantly rushing around dealing with the many maintenance issues, replacing toners and clearing paper jams. We were paying thousands of pounds a year in printing costs – shortly after joining the school I signed off a purchase order for almost
£3,000 for toner! On top of that, there was the matter of storing the cartridges and trying to find the right one for the right printer. It became clear that we needed to update and standardise the printers to save costs and regain control. Having worked with Finnick Solutions
(
finnicksolutions.co.uk) in a previous role, I trusted their expertise. I asked them to find a solution that was cost- effective, reliable and energy efficient, while being small enough to fit on a desk. Finnick Solutions suggested a newly
launched Epson inkjet printer, which could print up to 75,000 pages in black or 50,000 in colour without the need to replace ink. After a successful trial, we ordered 14 printers, which we distributed in most classrooms and our six IT suites. The printers delivered increased
productivity while requiring minimum
intervention. And predictable costs have reduced by 50%. We used to visit each machine three to four times a week, but now it’s less than once a month. The new printers use 80% less power than our old fleet, and we don’t have endless empty cartridges and packaging to dispose of. Plus they are quiet – which is ideal for the learning environment. The printers are integrated with PaperCut MF software, which allows us to see how many pages are being printed, by whom and from which device, which helps us minimise environmental impact. Not only have we halved costs, but
