Relocation began to build confidence in the moves by reviewing old relocation policies and developing new and clearly-stated policies that supported the delivery of the MCA’s future operating model. “Consistent messaging and customer service delivery were critical
to achieving MCA’s goals and objectives for this initiative,” explained Lexicon Relocation’s Simon Robins in the submission. “We designed and printed a helpful bespoke guidebook, and an
interactive area informational website was commissioned, providing invaluable information for the whole family about the new locations and the professional support available.”
Delivering the change The guidebook and interactive website, accessible from workplaces and homes, were part of the comprehensive communication programme for prospective transferees. This included face-to- face meetings, site visits and personal interviews, designed and delivered by Lexicon Relocation and the MCA team. “The sensitive nature of the project, and the very diverse locations of
our sites, led to an unusual but – in our view – absolutely right decision, which was to make sure MCA staff were given individual named contacts in HR and Lexicon to contact at any time throughout the period of change,” notes Matthew Briggs. This approach meant the HR team could respond to local issues more
effectively, and tailor its approach to different locations. Its aim was also to enable staff who were moving to concentrate on learning the new skills and competencies required to operate effectively, and not spend time on the routine worries associated with moving to a new location. It also enabled the team to make quick decisions on the ad-hoc issues that crop up no matter how much preparation and planning have taken place.
Keys to success “We took a hands-on approach in all of this, and I believe that, as a result, the relationships that were built between MCA staff, HR and Lexicon made a huge difference to the transition of our workforce,” says Matthew Briggs. “We won’t pretend that everything went perfectly – when does any house move? But these relationships meant that most issues could be solved by a quick phone call and some pragmatic decision-making.” Reflecting on the partnership’s outcome, for Matthew Briggs
the key measures of success were that the MCA remained 100 per cent operational throughout the transition, staff feedback on the moves was positive, and staff engagement scores rose during the period, despite the huge upheaval in coastguards’ lives. Underscoring the continuing commitment to this outstanding
partnership and the project’s overall objectives, although the programme was completed earlier this year, the MCA’s HR team and Lexicon continue to work closely with staff to ensure the service provided remains right first time as they settle into their new locations. The Re:locate Awards judges were keen to commend the
partnership’s commitment to getting the response right first time. “The effort needed to get it right first time has been modestly understated,” they said, “but it is clear that the consequences of getting it wrong would have been disastrous. There is evidence here of a great partnership where working together to manage a difficult transition has resulted in an ideal outcome.”
