Print, web, digital, mobile, social media – magazine publishers who want to remain competitive in today’s media world must serve a large variety of channels. For several reasons, this leads to drastic increases in the size of file collections. It’s time that publishers think about implementing an effective strategy to manage their digital assets, says Bastiaan Born…

recent study conducted by WoodWing Software on the technology trends of 2014 showed that 64.3 per cent of the participating magazine publishers focus on a true multi-channel publishing strategy, serving print, web, mobile, tablets and social media. These publishers have recognised that they have to offer their valuable content via various channels to address their readers’ preferences and different consumption situations. A key challenge in multi-channel publishing lies in the dramatically growing file stocks. The reasons for this increase are manifold. Some channels – web and tablets, for example – require a wide selection of multimedia content in order to exploit the channel’s technical possibilities and to meet the expectations of the readers. In addition, the various channels require asset files in different technical quality. A participant in the study by WoodWing nailed it: “It’s all about increasing the efficiency of the workflows feeding the various channels and improving transparency and reporting.” The only way to handle the enormous number of assets safely and efficiently is through the implementation of a powerful digital asset management solution, which fits seamlessly into the existing workflows.


Put an end to data silos


Often, the assets are spread across different editorial teams or departments and are not generally accessible. As a result, publishers cannot achieve cost savings; for example, by effortlessly repurposing existing content


in other channels or publications. An essential task of a DAM system is therefore the centralisation of the file stock, enabling publishers to put an end to data silos and to make existing assets easily accessible for all teams. To avoid remaining data silos, the DAM solution must be capable of actually managing all kinds of assets – this means it must support a wide range of file formats. Many of the available systems still need to catch up – for example, in the fields of video and audio. It is wise to pay attention during the evaluation process to which file formats are supported to what degree – for example, is the system able to extract all relevant information embedded in the files?

Increase the IQ of your files An essential prerequisite for the safe and effective management of the assets are comprehensive features for the description of the file’s content via informative metadata. This is the key to quickly finding and securely managing assets of any kind, format and purpose. The plain support for metadata standards such as EXIF, IPTC or even GPS is not close to being enough. To enable a tailored metadata strategy, the DAM system of choice needs to offer options to add custom metadata fields to suit the individual needs of users and to support the workflows. Mandatory fields and pre-defined dictionaries called taxonomies as well as support for tagging services such as OpenCalais help to ensure that users are able to quickly assign metadata in the required consistency and clarity.
