Turning live operational insights into smarter decisions and real action
Fiona Hale, managing director of CoolCare, explains the critical importance of making operational decisions based on real-time data
If the last decade in social care was defined by endurance, 2026 is fast becoming the year defined by precision. Faced with rising operational costs, increased National Insurance contributions and the mounting demands of an evolving CQC framework, care providers are operating with far narrower margins for error. The sector is responding with smarter
systems and sharper insight. In 2025, around 80 per cent of CQC-registered adult social care providers in the UK have digitalised their care records, marking a major shift towards real-time, data-led management. But having digital systems is just the beginning. The real progress comes when those systems are used to drive live operational insight – and with it, better outcomes across every corner of the business. Care homes have moved decisively from static reporting to real-time insight. The
focus is no longer just on gathering data, it is on using it in the moment. For staffing, finance, occupancy, and compliance, live data is helping care homes respond faster, perform better, and build greater resilience into their day-to-day operations. Here are some of the key ways care
homes have been turning insight into action and why 2026 might go down as the year everything changed.
Turning reactive operations into real-time action It used to be that data was something that sat in a spreadsheet, something to be analysed at the end of the week or month. But in a fast-moving care environment, that delay can make all the difference. Live data now enables managers to lead
in real time. Whether it be responding to a sudden staffing shortfall, a dip in occupancy,

or a missed enquiry follow-up, care teams can now take informed action immediately. By using operational dashboards,
managers can see at a glance what needs attention. From shift gaps to late clock-ins, every insight is live, clear and connected allowing managers to make smarter decisions faster. This change is more than just a tech
upgrade. It is a shift in mindset. When homes stop using data as a record of the past and start using it to guide the present, the impact is transformational. It is also a key differentiator in today’s care market. Care providers that lead with data are better positioned to identify inefficiencies, react to sudden changes, and forecast challenges before they arise. For example, using insights from rota trends, care homes can proactively manage stress points such as seasonal demand or sudden illness surges.
