EVOLUTION OF THE MEETING ROOM

Jeff Boggess, Director of Product Marketing at Avocor, looks at how new meeting formats are impacting meeting room designs and the technologies that are required to support these changes.

The usage of meeting rooms has undergone a dramatic transformation in recent years, with collaboration software and hardware becoming central to the way we interact with colleagues in meetings. One of the most exciting changes we are seeing is in the design of corporate meeting rooms. We have observed many corporations remodelling and downsizing their real estate and investing in condensed, high-efficiency coworking spaces that prioritize productivity and support for hybrid teams.

Outdated technology and old meeting room styles are some of the main culprits behind poor meeting experiences. Global events such as Covid and the cost-of- living crisis have created an urgent need for businesses to redefine the workplace and implement hybrid working policies. Technology has been instrumental in facilitating this transition and supporting a more hybrid and collaborative environment.

The evolution of the meeting room is now focused on a hybrid and bring your own device (BYOD) framework that enables employees to move seamlessly between different work styles, whether they are in a conference room in the office in the morning and then working from home in the afternoon. Collaboration technology can make this transition seamless by replicating the in-person experience through video display technology and vice versa. Employees can benefit from meeting room equity and interactivity regardless of their location and can collaborate with ease.

We are now starting to see a more inclusive approach through the use of different technological features. For example, the introduction of wide aspect interactive 21:9 displays provides a larger collaborative canvas to work with. Not only can you view colleagues in a side-by- side format, but you can also view multiple work assets

simultaneously. The extra ultra-wide displays offer a wider field of view and allow users to see more of the screen at once. Extra horizontal space aids collaboration, boosting productivity and efficiency for an array of tasks such as video editing and graphic design. This more practical and productive solution offers better meeting efficiency, as well as equity.

Microsoft Teams Front Row is a great layout to integrate within a new meeting room space. A workspace that optimises Microsoft Teams enhances the original meeting room spaces, offering significant value to corporate meetings. Utilising the 21:9 ratio, Microsoft Teams Front Row delivers a more holistic meeting experience. The additional screen real estate can produce new video layouts and non-verbal components within a room application, benefitting both the in-room as well as the remote participants.

If you are in the process of updating your hybrid policy and upgrading your meeting rooms, it is important that your AV integration team and interior design teams collaborate to ensure that everyone can be seen, heard, and contribute to the meeting. This includes considering features such as the display and its accessories, the furniture structure, and the room's availability to enforce a collaborative workspace.

For your next meeting room upgrade, these things should all be considered. The Avocor L Series is a product that achieves all these adjustments to the evolution of a meeting room. It possesses a high resolution, has touch and non-touch options, adopts wide viewing angles, and includes several collaboration features, such as wireless screen sharing, which can help meet the needs of a productive workspace meeting room.
