MYINITIAL ONLINE REPORTING GIVES FACILITIES MANAGERS PEACE OF MIND
I
nitial Washroom Hygiene has just unveiled the latest service in its global range called MyInitial, designed to revolutionise the cleaning industry. Initial Washroom Hygiene has been at
the forefront of innovation within the industry since the launch of Signature in 2013, a full range of sleek, design-led, hygiene products created for the workplace. MyInitial broadens the company’s strategy by offering a service to facility managers (FMs) that greatly improves the management of facilities to the benefit of all who use them. Hygiene is at the centre of the workplace demonstrated by a new report conducted by the Centre of Economic and Business Research (CEBR) on behalf of Initial Washroom Hygiene. The research showed how illness caused by a lack of hygiene maintenance, costs the economy £13.7 billion per year, equating to £700 per employee. The MyInitial service will help tackle this grand cost to the economy by helping FMs maintain the high quality standards required to prevent illness at work, and create a happier workforce. MyInitial is a new, free online reporting system which has been developed by Initial Washroom Hygiene, to enable Facilities Managers (FMs) remotely view, in real time, the status of their washroom servicing. This new tool, builds on Rentokil Initial’s long pedigree in providing its customers with detailed reporting applications. In 2003, the company created PestNetOnline, a market leading application for the pest industry which allows customers to view their pest control service information online. At the click of a button, MyInitial provides visibility and transparency of service cycle status. The system is clearly laid out and easy to use, essentially offering the user a personal view of Initial’s back office customer data. Once a washroom has been serviced, the customer delivery representative (CDR) enters the details onto a PDA of exactly what has been carried out during that service. As well as the client’s signature, this information automatically synchronises with the MyInitial system, so the data is captured in real time. The customer can then immediately log on and view full details of the service that has been undertaken. The below image shows the home screen of the MyInitial system, one can see how easy it is for an FM to see their premises and when they have been serviced. The contact details are also shown here, proof of the organisational use of the MyInital system. For ultimate control, the system is completely user defined, allowing FMs within an organisation to securely login and only

view the sites and customers for which they are responsible. For example, the application will only show a facilities manager for the Midlands area, the site data from facilities in the Midlands. Using one login, a multi-site customer can easily monitor and manage washroom services across their entire estate. They can view all of the premises they are responsible for, when the last visit was carried out and when the next one is due – all on one screen. They are also able to click through the appropriate contracts and view what service has been carried out at each location, with the exact time of the visit recorded as well as what products and services are provided on each site. The below image is a flowchart that shows exactly how the system works, and how each stage of the process is linked with each other.
MYINITIAL’S AIM
Already 2,139 separate premises are benefiting from the ability to view and manage their data using the MyInitial portal, and this figure is growing daily. Public sector organisations, such as Birmingham City Council and West Lothian Council, are already starting to implement the system across their estate, as well as customers from a range of other sectors. The key aim of MyInitial is to provide peace of mind for customers, place control in their hands and provide 24/7 access to information. It also removes the time consuming admin work that businesses, particularly multi-tenanted ones, have to endure when maintaining their facilities. The data within the system can be easily exported and transferred into a business’ own management reporting systems. The application also acts as an online filing cabinet, storing important documents such as service provider information and compliance documents in relation to individual customers’ sites. The system provides reassurance to customers that hygiene standards within the business are being maintained thoroughly and in accordance with the planned schedule. The application not only includes historic data, but also the ability to view upcoming service information as well, allowing customers to more effectively keep track of who will be attending their site and when. The system puts everything online so that it is easily accessible for users, creating a smarter service which leads to increased optimisation and better efficiency in the workplace.
MyInitial is a secure application through use of hashed passwords, https encryption and a secure, backed-up, data centre. Moreover, the system is not paper based, reducing unnecessary paperwork and environmentally unfriendly methods of managing their washroom admin. The technology provides visibility and transparency of the service, freeing up the customer’s time and putting the control back in the hands of the FM. According to the CEBR research 39 percent of office workers in the UK believe improving office hygiene would increase their level of job satisfaction, while the average UK office worker would be willing to sacrifice £130 per annum to ensure their offices are maintained to a higher standard. With this in mind, the MyInitial service will expand a company’s ability to maintain the hygiene standards required to improve the working lives of office workers. Furthermore, a cleaner office environment is intrinsically linked with saving further costs in a business through improved staff retention.

PHASE 2 ENHANCEMENTS Initial Washroom Hygiene is building on the successful launch of the MyInitial service by building further technological applications into the free service. There will soon be a smart phone application enabling customers to view service visits to their premises on the move at any time of the day. An opt-in service visit notification email system will also be available so that it will become even simpler to view when the washroom was last serviced.
