or years employees may have had their own print devices,


situated conveniently and used on demand whatever their requirement. So how does an organisation overcome resistance to change when device numbers are reduced and new technology is installed?


A new print solution will enhance an organisation’s productivity and makes life much easier for staff by offering improved functionality and better quality print output. But the key to success is user buy-in and early adoption of the new solution.


Successful print partnerships involve dealing with culture change jointly and implementing a long term strategy to communicate with your staff is crucial. Developing effective communication strategies and electing ‘green champions’ can aid the transition and assist with a successful installation.


Educate users and focus on the benefits of the print solution by including these elements in a detailed communication strategy ie at an end user level, the additional speed and functionality, whilst from a holistic perspective the overall commercial savings on the project relating to cost reduction

Exploring your options around print


Deciding how best to address your trust’s printing needs can be a complicated process. National Health Executive asks print industry expert Andrew Brown about the options on offer

anaging your trust’s printing needs can leave many managers


scratching their heads.


In large organisations, orchestrating potentially hundreds of different printing requirements can be difficult so it’s understandable that many trusts opt to use the services of an outsourced specialist to deal with their printing demands.


This can either be through using a large scale printing company or a print management company, depending on what the needs of the trust are.


“When trusts are looking for solutions to their print needs, they should always look for the value in the services being offered,” says Andrew Brown, director of corporate affairs at the British Printing Industries Federation.


“Whether this means going to a large printers who are more likely to offer a wide range of services or by using a print management specialist who acts as an agent between printing companies and the NHS trust.”


The landscape has changed in recent years, with many print management companies going under. The ones which have survived now tend to offer a wider range of services.


“Because print management specialists act as a go between, printers see them as customers and NHS trusts as suppliers – this often means that trusts don’t make the connection between the print managers and

the companies supplying them further down the chain.


“Over the last ten years, the number of print management companies has dropped significantly, with those that are left offering a wide variety of services - some print management companies even have their own operating plant, along with the fact that some printers are now offering print management services. This means that the boundaries between print managers and printers has become a little blurred.”


Whilst this may complicate the situation, it does mean that NHS managers have a wider choice when it comes to finding the right supplier as well as helping some small printers to gain access to work which they would usually not be able to bid for, due to their size.


“Whilst print management companies can be seen as direct competitors by many large scale printing companies, they can also offer the opportunity to smaller printers to become involved in NHS work because of their scope to bid for larger contracts.”
