Gruentjes, and Executive Director Standards, Steve McHugh After receiving a steady stream of questions about TAPA’s Security Standards from Audit Bodies and our members, we feel it will be beneficial to share some of the questions received and the responses given by the TAPA EMEA Standards Team. We aim to cover 3-5 questions in Vigilant each month.


We have recently seen the first FSR Multi-site certificate being awarded. Congratulations to DHL International! We also know of other multi-site applications that are currently being audited or are deep into the planning stage, so we expect more certifications to follow shortly.


This is great news as the FSR Multi-site certification option was only introduced last year. The benefits of using this option are becoming more evident:


• lower audit costs • less external audits to support


• the flexibility to add or remove sites from a current certification


• a centralised security management system for maintaining TAPA FSR compliance


CENTRAL FUNCTION


Now multi-site is up and running, we have received several questions from our Independent Audit Bodies (IABs) and Logistic Service Provider (LSP)/Applicants. In this month’s FAQs, we address some of those questions.


Before getting into the detail of questions and answers, however, TAPA advises that the key to a successful multi-site certification is in the planning. Early engagement between the IAB and the LSP to discuss the scope, agree an audit plan, and to allow adequate time for completing the audit schedule is essential. Question 1.


FSR Multi-site: Can you explain what audits are required to achieve an FSR Multi-site certification? Answer: These are the audit requirements for FSR Multi-site:


1. Initial audits (self-audits) should be assigned by the IAB for the first year followed by Interim audits in years 2 and 3. The LSP is required to complete and submit an audit for each facility that is included in the certificate. The IAB should review this material as evidence of compliance and ensure the audits were adequate and any corrective actions have been taken.


2. Central Function audit. This is required to be completed each year and is completed by the IAB. The audit will focus on the company security management system. Company policy, procedures and compliance evidence should all be validated by the IAB.


3. Sampling audit. The IAB is required to inspect at least 10% of sites included in the multi-site application. If it’s 20 sites in total, then, in the first year, 2 sites would normally be selected by the IAB for sampling. In years 2 and 3, another 2 sites for each year would also be sampled.
