A SPOTLIGHT ON CLEANING


As businesses look to return to work over the coming weeks, one of the core focuses on mitigating an organisational outbreak will be cleaning. Paul Bullard, Business Strategy Director at FSI, explains.


If one good thing has come out of this very unfortunate situation we now find ourselves in, it’s that cleaners across the FM industry are finally getting the recognition they deserve.


With the disruption of COVID-19, workplaces are preparing to return to some sort of new normality, with cleaning and sanitation at the top of the priority list for many. For facilities and building managers that rely on more traditional methods of asset management and maintenance, there are going to be many obstacles in keeping on top of these tasks.


Firstly, the needs of the building are going to change depending on the level of occupancy at any one time. Having the data available to assess how many people are in areas at any one time could affect cleaning regimes and schedules. For example, if an entire office floor is still working from home, then less regular cleans will take place. If the same meeting room is frequently booked out by different groups, it will be vital to assign a cleaning task in between one group leaving and another arriving.

While a risk assessment doesn’t necessarily need to be made digitally, ensuring the tasks and actions that emerge from it are properly implemented, monitored and optimised accordingly will rely on CAFM technology in order to be effective. Actions identified as part of this risk assessment could include anything from ensuring doors are kept open where safe, and regular cleaning of handles where this is not possible. Or you may look to introduce a cleaning schedule for lift areas and buttons if you know there is a peak in traffic at particular times.


What CAFM allows teams to do is not only access this data in an easily digestible way, as well as help you make informed decisions, but also records every aspect of a task, giving a detailed audit trail of any subsequent actions following the assessments. This is important for peace of mind and assurance internally, but also should any spot inspections take place; teams can prove they’re fully compliant and have the data to back this up.
