“We wanted to go to that next level and we went out and


looked at a number of different workforce management systems within the UK. We looked at our current supplier, we looked at other suppliers and we looked at Kronos. Without a doubt they (Kronos) were providing more assurance that they could deliver what we needed.


“Did we know what we needed? Not really. So, we had to go through the journey of understanding what was essential and translating what the system delivers to what we need,” she continued.


Time is of the essence Around 1200 employees are hired by Sodexo across the five hospitals, most of whom are paid by the hour, based on a clocking-in and clocking-out system. The manual paper-based system previously in place would often result in miscalculations and overpayments because worked hours were not being correctly recorded.

$4.25bn. It is a massive industry that is expected to expand at a compound annual growth rate of


7.5% during the forecast period of 2018 to 2026.”


Reacting to unforeseen staffing requests had become extremely burdensome for managers and some agency- based staff were clocking off fifteen minutes early each day so they could find a manager to sign off their hours. Furthermore, Sodexo was finding it difficult to meet the NHS rostering targets due to constant fluctuations in demand.

To combat these issues, Kronos installed nine biometric fingerprint scanners around the hospitals for maximum coverage. As soon as an employee enters the site, they place their finger on the InTouch scanner and it clocks them in. The same process occurs when leaving the hospital after their shift has finished.


Not only did this help build an attendance profile of staff by detecting recurring lateness and absence – central causes of inefficiency and lost productivity - it also removed the need for employees to spend time finding a manager to sign-off a timesheet. In turn, this has reduced the volume of invoice processing and payroll administration.


Sodexo has estimated that the number of invoices from contractors has reduced from 250 to 15 per week, equating to a 94% reduction in invoice processing and significant time savings for the organisation’s central administrative team. There has also been a 5.24% reduction in sickness, saving the organisation around £31,000.
