to success with Replay
Maintenance
Keeping track of multiple sports sites has been a challenge faced by facilities management teams for years. From booking repairs across their portfolio of locations to filing never-ending paperwork and accounting for missing data when a director calls them into a review meeting, their days are varied and often stressful. That was until Garry Martin, Managing
Director of Replay Maintenance, realised he could develop a real-time global application that would help his clients overcome these issues and allow their data (now stored online) to be shared with anyone within their company who needed access to it. Garry, who has been with Replay
Maintenance for 16 years, currently helps more than 1500 facilities, from Land's End to John O'Groats, maximise the use of their pitches, courts and athletics tracks through ongoing maintenance treatments. He realised in 2018 that by hosting facilities’
data online, his clients and their management teams could drastically reduce the amount of time they were spending collating and sharing reports – which are now created at the touch of a button once the latest data has been uploaded. The Passport365 app was launched in
April this year as a standalone system for all entities of sport globally. Gavin Lemmon, CEO of Norfolk County
30 FSM
FA, said: “As one of the few County FAs in the country who operate and manage their own facilities it is imperative for us to adopt processes, procedures, and where possible technology that will make this job easier. “Given our long-standing relationship with
the team at Replay Maintenance we jumped at the chance of being an early adopter of the Passport365 asset management system. “For the NFA to have the ability to feed
in to one system that has live reporting functionality has been of huge benefit and we look forward to working with the Passport365 team to maintain our reputation as innovators in the grassroots football sector.” Protecting reputations is something that
Garry and his team strive for as synthetic sports surface specialists. As well as grassroots organisations the company has received recognition for its range of track cleaning services, including for the work on the Olympic Park during the London 2012 Games. Garry said: “Imagine if Passport365 had
been available during the Olympics! With the number and variety of sites used during the games, organisers would have been able to track their maintenance needs day-by- day and quickly eliminate problems, such as damage through use, from one central dashboard.”
Groundsmen and facilities managers who
sign up to the innovative app, can book in maintenance jobs, record their daily activity and upload images from the sites, which can be viewed by asset managers in head offices across the globe in real time. Garry added: “With the introduction
of Passport365 we’re helping customers manage their facilities more efficiently. “Having all of the information about any
one site, in one place and accessible on the go, will put our clients back in control of the assets they manage and will eliminate the need for paperwork – which can soon pile up. “Passport365, will allow everyone working
on or managing a sporting facility to be able to view, update and collate reports from the app either through their phone or on their desktop. “Clients can check on each of their sites
while they’re hundreds of miles away at head office or even in another country.” By launching the app, the Passport365
team hope to support grounds facilities teams across the world to do what they love, without having to worry about paperwork and reporting, which will now be available in the palm of their hands at the touch of a button.
