Fundraising events
Organising a fundraising event for your school needn’t be daunting – just keep in mind these three Ps…
Events made
Planning You may be lucky enough to have an active PTA that can take on event organisation for you, but should you be charged with setting something up yourself then where do you start? Fortunately, help is at hand from
our sister publication, PTA+. Visit
pta.co.uk, where we’ve put together a range of comprehensive step-by- step event-planning guides, all compiled using extensive feedback from previous events run by fellow schools and PTAs. Whether you’re planning
something relatively simple such as a family beetle drive or bingo night, or a large-scale community event such as a music festival or colour run, we have more than 25 different guides that will take you through every step of the process, and include insider tips and expert advice on everything from pricing and timings, to insurance and licencing. Promotion Once you’ve put the wheels in motion for a fundraising event at your school you’ll need to consider how best to promote the event in order to secure maximum attendance. Spread the word as early as you can. We recommend using a combination of posters, fl yers, letters and social media. If your event is aimed at school pupils and their families then include details in school newsletters and send out letters or fl yers in book bags. Visit
ptaprintshop.co.uk for eye-catching event fl yers and posters that can be personalised. Online marketing is often the
easiest way to reach people, so why not create a digital poster that can be shared on social media? Visit
postermywall.com or
canva.com for templates. For community events, consider putting up posters in shops
Don’t forget... ■ Licensing – If you plan to sell or supply alcohol on unlicensed premises, a Temporary Event Notice (TEN) will be required. Contact your local authority at least 10 days before your event. Check that your school has PRS for Music and PPL licences through CEFM to cover music copyright.
■ Insurance – Before embarking on any type of event, ensure you have public liability insurance cover in place. Any third-party suppliers will need to have their own cover and your local authority will be able to tell you what level of public liability insurance they should have.
■ Managing money – If you expect to be taking large sums of money at your event, appoint dedicated volunteers who are responsible for managing floats, collecting and counting cash, and ensuring safe storage throughout. If running a bar or an auction, consider using a card reader such as iZettle to manage payments.
and displaying roadside banners in the weeks leading up to your event.
Products Offering refreshments at your event is a great profi t booster, and schools can now pay wholesale prices on branded and own-brand goods at
booker.co.uk. With 172 branches across the UK, Booker is the biggest food and drink wholesaler in the UK. And, if you have any leftover non-perishable goods it offers a sale-or-return option (on complete packs). To register for an account, email
booker@pta.co.uk. There are many local suppliers
that work with schools, too. We’ve recently put together a Local Suppliers directory so you can easily fi nd companies in your area that supply merchandise, equipment and catering to make your event go with a bang. Go to
pta.co.uk/suppliers and click on County Suppliers.
