This issue we asked a group of savvy meeting professionals to share their favorite time-saving tips.

“When bringing a group to a passport- required destination, I try to get my hands on customs and immigration forms and then pre-populate the fi elds for my at- tendees with such things as hotel name, address, dates, etc. On occasions when we have passport data for the attendees, I am even able to add their name and passport ID information.”

Joann C. Gen Re A Berkshire Hathaway Co.

“Go packetless! There are many options to have a packetless event: Use a mobile event app; e-mail agendas in advance; provide printing stations on-site for forgetful attendees; or use registration software that sends customized agendas based on attendee’s choices in registration. Flyers, handouts, and other info can be attached to fi nal e-mail communications or made available through a mobile app as well.”

Amanda A. Enterprise Holdings Inc.

“Prepare an abbreviated agenda, on card stock, sized to fi t in an attendee’s name-tag holder. Issue these with their name tags and they will be more likely to always have an agenda with them. Additionally, if you have breakout sessions, add a sticker on the back of each name tag with their breakout assign- ment. This has saved so much time—and paper (bonus!)—for us this year.”

Laura M. McKenna Long & Aldridge LLP

“Be upfront and honest about your budget when working with vendors. Whether it’s a little or a lot, by providing accurate numbers, you’re allowing your vendors to provide you with their “best off er” right out of the gate,

saving days of negotiating in the end.” Tiff any C.
