PRINT MANAGEMENT

Managed Print Services: what can they do for you?

Konica Minolta’s Jeremy Stillman, head of Consultancy Services, and Stuart Brookes, who heads its Professional Services Division, look at the benefi ts of taking an MPS approach.

W

ithin the public sector the total cost of the printing device and the reoccurring costs

of consumables are of the upmost importance when deciding on how best to spend those ever constricted budgets.

Maintenance of frontline service delivery is a must, and at the heart of this is the effi cient and effective internal distribution of documentation and its storage.

Many current printing environments are patchworks of printing, imaging and fax devices that aren’t managed or serviced to keep up with the demands of public sector environments. Managed Print Services (MPS) combine consulting, hardware, software implementation and workfl ow management in order to lower document spend.

MPS concept focuses on three essential areas:

• Fleet: working out the best size of the document output fl eet to fi t the actual demands of the business, providing optimal business process and fl eet support, and establishing continuous optimisation balanced with minimal cost of ownership and environmental impact.

• Process: Analysing all business-relevant document work-fl ows in order to increase productivity, benefi ting from cost savings, implementing and operating a software solutions that are tailor made to meet your precise daily needs.

• Security: Designing and implementing IT and information security solutions, from user authentication and data-safe hard disk handling of disposed devices to complex network security requirements.

The Konica Minolta MPS concept, Optimised Print Services (OPS), is based on a three- pillared approach: Consult, Implement and Manage.

1. Consult: Managed Print Services are based on defi ned consulting procedures and powerful analysis tools allowing customers to understand every single step on the way to their tailor-made solution.

• Capture: Identifi cation of existing print assets, monitoring of user patterns and user interviews to detect specifi c needs and

• Analyse: Precise Total Cost of Ownership (TCO) calculation, analysis of needed and recommended print services. • Optimise: Design of a print fl eet that fi ts concrete business needs and fi nally the calculation of general savings.

2. Implement: MPS offers enhanced transition management to the extent wanted by the customer. Companies, stakeholders and users benefi t from practical experience.

• Project: Controlled process from start to fi nish with regular reports on progress. • Change: Delivery of all products, licences and consumables, preconfi gured products for integration without major disruption to your business. • Inform and train: Documentation and introduction to users and administrators, trainers will teach all staff how to uses the new devices.

Green Credentials

Konica Minolta has once again won the Green Hero Award for its MPS Green Audit, which clearly demonstrates how environmental savings are made through the MPS approach.

As an integral element of our full MPS service, Konica Minolta is able to calculate the amount of energy, paper and toner used by customers’ devices, which can then be articulated into the amount and level of CO2 used. We can then advise on which measures to use to reduce it.
