given the size of the intended roll-out to over 800 scientists, VIB decided to use a phased approach based on a public tender procedure. In the first phase, a pilot project was initiated in five VIB labs with a total of 40 VIB scientists. In order to be able to judge on the value of the eLN implementation, VIB decided to make a representative selection of the pilot labs with respect to diversity in terms of location (VIB groups at different universities), main research focus and experimental techniques used. The eLN project team consisted of one project leader, one representative from VIB’s Technology Transfer department, VIB’s CFO and VIB’s IT manager, as well as one expert user per pilot group. The expert users will be introduced into the inner workings of the eLN package so that they could develop experimental layouts as well as provide local first line support for the other lab members. The expert users thus should act as the relay to facilitate their group’s entry into the age of eLN. Additionally, VIB created a full time position to support the pilot project, the potential eLN rollout to the whole institute, and the end user training. After the selection of the software provider by the eLN project


team, the eLN pilot kicked off in May 2009 with the installation of the server software at VIB Headquarters and the distribution of the eLN clients to the pilot labs. Given a heterogeneous IT environment, VIB required the eLN software to run natively on various Windows flavours and platforms (32- and 64-bit environment). Moreover, for around 15 per cent of VIB users using Apple workstations, several Citrix servers with the eLN package were installed at VIB Headquarters, allowing access to the eLN software via a secured web portal. During the summer months, initial training sessions for the eLN


administrators and the five expert users took place followed by end user training of the pilot group. Three months after its introduction in five early adopter groups,


the pilot phase of the eLN implementation was successfully completed. The 40 eLN pilot users gave good marks with respect to lab-specific customisations and supported file formats, including Office applications, image and PDF files. They also appreciated the involvement of the five expert users. Furthermore, they suggested increasing the eLN support by providing online documentation, now available via the VIB intranet, as well as an openly accessible FAQ website with common problem solving and step-by-step installation procedures. The overall positive end user feedback and the full support of the


five VIB group leaders involved in the pilot project encouraged VIB to expand institutional access to eLN. Staggered rollout of the eLN software package to new eLN users at interested VIB labs started in 2010.
