FEATURE TRAINING & PEOPLE MANAGEMENT

IF IT AIN’T BROKE…

In this article, James Evans, senior account manager at STANLEY Security, puts the case for moving to modern Time & Attendance systems and highlights some of the less well-known benefits

FIRE AND EXPLOSION ADDRESSED IN RISK MANAGEMENT WEBINARS I

P

rocess industries worldwide have the opportunity to learn how to minimise the risk of plant fire and explosion, in the form of

a new webinar programme by international provider of thermal fluid system support, maintenance and risk management services, Thermal Fluid Solutions (TFS). The launch coincides with the firm’s introduction of convenient online training for existing customers. TFS’ webinar programme is designed to help process

manufacturers to manage the risk of fire and explosion associated with the operation of thermal fluid systems, helping them to ensure that they run safely, efficiently, cost-effectively and with statutory compliance. Delivered by TFS’ managing director, Richard Franklin, and TFS

America’s chief executive officer, Marc Gingras, the webinars cover topics relating to risk identification and reduction, and regulatory compliance. The first addressed the issue of COVID-19 plant closure and the consequent opportunities and threats. The webinars will take place at regular intervals and are easily

accessible to all - not just existing TFS customers – by registering via the company’s website, where a dedicated page provides details of forthcoming events, along with the opportunity to review previous sessions. In a further online development, customers of TFS’ PACT

(Professional Accreditation Compliance Team) Partner Programme can now undertake training online as well as face-to-face during site visits. PACT was developed to enable process manufacturers to protect

their assets and ensure production reliability while minimising the risk of fire and explosion. It includes advice, implementation and the generation of

compliance paperwork, and retained customers undertake the annual refresher training with UK-based Franklin as part of their work to achieve and maintain statutory compliance. As well as offering customers greater convenience and flexibility

as they strive to achieve and maintain compliance, the online training has proved particularly valuable during the COVID-19 pandemic and the associated shutdowns and travel restrictions.

f it ain’t broke, don’t fix it, goes the saying. Monitoring employees

working hours using traditional clocking in/out systems that are recorded manually to a spreadsheet is a case in point. It seemingly works well, so why go to the expense and upheaval of implementing a Time & Attendance (T&A) software-based system? T&A systems automatically

calculate employees’ attendance hours, overtime, holidays and absences - all exportable to payroll in minutes - and provide evidence in proof of compliancy with working time regulations. A basic system will include a

terminal/readers and software placed on your computers or browser-based. The terminal/ readers are used to capture individual employee’s clocking in/out data and are available in card or fob and biometric formats. By far the greatest benefit of

moving to a modern T&A system is accuracy. Individual employee data is monitored and calculated in real time down to the second, including hours worked, breaks, overtime, absences and allowances. Every type of work pattern and schedule can be recorded, including flexi-time. T&A systems have been around

for a while but there are many new features and functionality being added all the time. Here is the latest features that are proving most popular:

Mobile app: remote workers,

including drivers, are not able to clock in/out through an onsite reader, so extending the T&A system to them through a mobile app has been popular. Employees can not only enter in their times but also their exact location and any tasks they are carrying out and can even request holidays. Cost centring: for companies that

require job costs to be allocated to a specific project or budget, or to be invoiced out, a T&A system is now almost essential as it provides details of the true cost and not just to the nearest hour or so (plus there is evidence to verify it). Presence Indicator Panel: this

shows in real-time who is currently present and who is not, which is ideal for fire role call. Automatic Payroll reporting: as

well as calculating employee hours in real-time, T&A systems also come with full reporting and exporting features, enabling you to interface with your external payroll service provider. When taking into account the

improved accuracy and the time, and subsequent cost, saved from manual entry, we estimate that ROI is around ten times the cost of the system. STANLEY Security provides an easy to use calculator - www.stanleysecurity.co.uk/resource s/savings-calculator
