transition the phlebotomy service to using pre-labelled blood tubes to reduce issues with handwriting and mislabelling. With a team of over 50 phlebotomists, errors could have a big impact on the laboratory in terms of efficiency as well as the patient, as they may need to be re-called for another test.”
As a consequence, WHH initiated
a project to design a completely new process that could be supported and managed through by online services. The design objectives were: n Improve online GP Ordering to ensure there was no need for the practice to print order forms for patients.
n Ensure a patient was no longer required to bring any paperwork to clinic.
n Communicate by SMS text/email with patients to signpost them to the phlebotomy booking service.
n Provide scheduling functionality to allow patients and the Trust call centre to book appointments.
n Link order with booking service to only offer appropriate appointment dates/ times.
n Ensure only patients with active GP orders can book an appointment.
n Allow patients to manage their bookings including ‘cancel’ and ‘cancel and rebook’ options.
n Send patients a reminder of their impending appointment.
n Manage the clinic through an ‘Expected Patient List’ and patient call functionality.
n Associate the order with pre-labelled tubes to reduce labelling and margin for error.
The Trust’s LIMS provider (CompuGroup Medical) developed an app that would enable the use of pre-labelled blood tubes. Explains Neil: “The app is really clever, linking the correct colour collection tube to the patient so the correct tube is always used. All the phlebotomist now has to do is write the patient’s name on the tube. By working with our LIMS provider, we had found a solution that would allow the use of pre-labelled tubes. What we didn’t have was a connecting piece for our patients – this is where we needed an appointment scheduling solution.”

Consequently, WHH worked collaboratively with WASP Software and CompuGroup Medical (CGM) to deliver the end-to-end phlebotomy process that not only delivers on the original design objectives, but also runs smoothly in all eventualities.
How it works Patients receive a text message with a booking link, with access to schedules restricted to patients who have an open order. Users simply select the most convenient appointment slot. Patients who prefer to book over the phone can still do so as Trust call centre staff also utilise the same online scheduling service to identify and book appointments. The phlebotomy booking service, developed by WASP Software, integrates with the Trust’s GP Pathology Ordering System and Electronic Patient Record (EPR) to issue a unique link to the Trust’s online phlebotomy schedules, hosted on WASP’s Cloud service, via a SMS text direct to a patient’s mobile.
