TECHNOLOGY IN H&S

FACILITATING COVID COMPLIANCE

Compliance management can be taxing for any company even at the best of times. The novel coronavirus exacerbated these challenges further, but there are solutions available, explains James Bradley, Director at Churchill.

A strong management and compliance solution should be built on a foundation of flexibility, simplicity and transparency. Flexibility is especially important during times like this, when compliance guidelines are being updated so often due to COVID-19.

The ideal COVID-19 dashboard will allow businesses of any size and with any number of locations to ensure they are keeping on top of all Government guidance. It should also allow users to optimise the dashboard to fit the needs of their organisation.

Though health and safety has always been an important consideration for businesses, it’s never been under the spotlight as much as it is now. There’s undoubtably been a shift in expectations from employees and customers. Whereas most people used visual cues to assess standards in the past (if an office looks clean then that’s good enough), there is now an onus on businesses to demonstrate that hygiene standards are being met, whether that’s through certification, regular communication or visible and frequent cleaning teams.

Compliance management can be challenging at the best of times. When you throw in the COVID-19 guidelines from the Government, which are being updated on a regular basis, it can be overwhelming to try and manage everything on paper or spreadsheets – even more so when working remotely.

Failure to comply could lead to business closures, fines, loss of customers, and in the worst-case scenarios it’s putting people’s health at risk. This is where compliance software comes in.

Those new to compliance software might be unsure about how easy it is to use, but there are many options out there that strive for a simple, intuitive solution to make life as easy as possible for the user. That said, it’s still important to make an informed decision as there’s a difference between software that strives for an intuitive solution and software that actually delivers it. Even those that have used compliance software before may be unfamiliar with some of the simple, intuitive solutions on the market.

Risk assessments, cleaning schedules, swab testing results, staff briefings, building signage – these can all be added to a dashboard and tracked using a simple method, such as traffic light system. That will give any user an at-a-glance overview and makes compliance that much easier.

Compliance is of course a vital component of any back-to-work programme, but it’s just one part of what needs to be a comprehensive programme. Employees need to be supported and engaged with to ensure that they understand new protocols and how they should behave in the workplace. Fortunately, technology can assist here too.

A digital platform can facilitate real-time communication and is critical to ensure that teams get the latest government and company news in a timely fashion.

Cast your mind back to March when the announcement was made about people working from home if they were able to. People watching their TV sets from home were unsure if that meant them and how soon they might be asked to do so. Businesses with a digital platform were able to send communications to their employees as soon as there was a plan in place. With the situation still evolving, the need for real-time communications is just as important.

Finally, it’s important to find the balance between humans and technology. In an ideal scenario, technology can complement human practices and make things easier for everyone involved, from the users to employees.
