CREATING ACCURATE REPORTS
Creating reports was a time-consuming endeavor. They wanted a report to bring up everyone in Growth Guidance and Phase II Pending showing their next visit code (Type) and also indicating their recall month and year, even if it was in the past. Not possible.
One of the orthodontist’s concerns was that there was no way to check that the day’s activities had been correctly entered into the system. She wanted a report that would show which patients had been seen; what codes had been posted; who had made payments or adjustments or had a contract started; whether the next appointment had been made for active patients; and whether a Recall had been set for Growth Guidance and Phase II Pending patients seen; etc.
Not wanting to hurt the feelings of these well-intentioned people, I didn’t mention Dolphin until I couldn’t keep quiet any longer. I showed them how in Dolphin you don’t need to print out records for reference every time you wish to change the template. I demonstrated how you can lay in the new template and then drag-and-drop the patients to the appointment that matches the class they need.
And they learned about the Hummingbird Reports, especially the one that runs the recall system, where Growth Guidance and Phase II Pending patients are brought up on a list automatically if they were due for recall last month, this month, or next month − including those due this year and every year in the past for those three months. In other words, the report is designed to include all patients for three months. I also explained about another Hummingbird Report that gives a list of Growth Guidance and Phase II Pending patients who don’t have a Recall, so that problem can be easily rectifi ed using DIRT (Dolphin Interactive Report Tool).
But they were most excited that once they run a DIRT report, they can create an email or text template and use it to contact everyone on the list. So Recalls on the list for October, November and December might get an email in October, a text in November and a phone call in December.
When we discussed the Hummingbird Report showing Retention Patients Debanded 18 months ago (the length of their retention period), they were also delighted that you could post an End of Retention letter AND change the status of these patients as a group to “Inactive.” The new Daily Check List also brought a standing ovation as it shows absolutely everything that happens each day, so that entries may be checked and corrected before midnight if necessary.

But the pièce de résistance was when I demonstrated how each patient’s treatment plan sits at the bottom of their Treatment Card, and the visits drag up as the Next Visit, populating the Type and Type description, Notes, Wire Sizes and Weeks to Next Visit. They couldn’t believe how little typing they would have to do. And how easy it was to add a visit to or skip a visit in the treatment plan.
And so the group decided to switch to Dolphin Management to help take their practice to the next level. The message of gratitude from the orthodontist the following day was, “We are all so energized.”
