MEETING & CONFERENCE FACILITIES

SHARING IS CARING

Oblong’s Mary Ann de Lares Norris discusses the necessity for businesses to have access to meeting room technology that

allows them to share content and collaborate remotely, without delays.

We’ve all been there; you’re trying to get a meeting up and running and someone can’t connect their laptop to the projector because they don’t have an HDMI adaptor, then the person dialling in on the conference phone doesn’t have the right PIN and when they do manage to connect they can’t see any of the information that’s being shared. Recent research carried out by Cascade Insights into how meetings work, commissioned by Oblong Industries, shows that companies are losing up to 15 valuable minutes at the beginning of each meeting trying to get the technology in the room up and running. This is an unacceptable inefficiency for any enterprise, large or small but it also has a demotivating effect on the meeting dynamic.

A key responsibility of the facilities manager is to ensure the smooth running of the workplace and eliminate inefficiencies that prevent the organisation from functioning as profitably as possible. Meetings play a critical role in any organisation and facilities managers must ensure that the technology in conference and meeting rooms not only

enables critical business processes, but also provides an energising and engaging experience.

Research carried out by Wainhouse Research, into AV technology for meeting rooms shows that in many organisations facilities managers hold the budget for the AV technology used in ideation rooms. Recently we have seen more and more large enterprises implementing advanced AV collaboration systems in boardrooms and executive briefing centres, giving these rooms the necessary capability for distributed teams to work together and share all forms of content and data.

However, this investment in AV technology is only just starting to make its way down the chain to smaller meeting rooms and ideation spaces. It is critically important for facilities managers to equip these smaller spaces, where teams meet to collaborate, brainstorm and create ideas, with technology that empowers them to do their best work. These smaller meeting rooms are often where the real work gets done in an organisation and staff need the right tools to work at their most effective.
