#1 When it is outdated, get rid of it. Hmm, betting that pricelist from 2001 and 2005 isn’t valid! And in this age of the internet, do you really need to take up your space with all those catalogues? What about the inactive files you’ve got crowding your drawers? Sure you may need them for tax purposes, but consider offsite storage or a data management company.
#2 When you can find it online, get rid of it in reality. Those printed catalogues and binders you are hanging onto are now available in up to the moment version online, clear your shelves. In fact most catalogues are now available on disk and change so quickly it makes no sense to harbor the antiquated binders. You can print tear sheets on demand when you need them.
#3 When you haven’t opened it in two years and don’t know what it is, get rid of it. You will lose more time going through junk or getting nostalgic over stuff. This is an incredible lesson and likely why we now have a television show called Hoarders on A&E, and 3 million American’s affected with this disease. You’ll find that when you release old stuff, even old stuff you don’t inspect and examine first, you will feel lighter, energized and better able to move forward faster.
#4 When you are storing it, chances are good you don’t need it, re-evaluate that expense. This is the perfect time to cut loose old equipment, ancient furnishings, professional learning materials and more. Before you store it, calculate what it will cost you, you may be surprised to find that something like just $100/month in climate controlled (because really if you don’t need climate controlled, you don’t have anything valuable enough to store) turns into $1200/year. That is the price of a nice weekend away with your spouse or partner, it is also three or four new outfits or one depending on where you shop.
#5 When your paper files duplicate your online files, get a guaranteed remote back up and save the space, and your peace of mind. With the advent of cloud computing and services like Carbonite, it is cost effective and truly secure to do your backups remotely and ditch the paper. Being eco-friendly and green responsible just makes sense. You’ll save trees, time, space, and money. Not to mention it is infinitely faster to look up files electronically than it is to search for them manually.
