approve the October 31, 2011, Special Meeting Minutes. The motion was approved unanimously. Motion 2: A motion was made and that
seconded the Board of Directors
approve November 2, 2011, Regular Business Meeting Minutes. The motion was approved unanimously. Motion 3: A motion was made and
seconded that the Board of Directors approve the November 7, 2011, Special Meeting Budget Workshop Minutes. The motion was approved unanimously. Motion 4: A motion was made and
seconded that the Board of Directors approve the November 9, 2011, Special Meeting 2012 Budget Approval Minutes. The motion was approved unanimously. Motion 5: A motion was made and seconded that the Board of Directors approve
the modifi cations to the Banner Policy, effective January 3, 2012. The motion was approved unanimously. Motion 6: A motion was made and that
seconded the Board of Directors
authorize the General Manager to forward the proposal to the Association’s Counsel for review and feedback and to investigate the feasibility of entering into an agreement with Allied Waste Services, effective December 7, 2011. The motion was approved unanimously. Motion 7: A motion was made and that
seconded the Board of Directors
authorize Management to place on the ballot in connection with the 2012 Annual Election of Board Directors the attached “Special Assessment Ballot Verbiage”
in
the amount of $300.00 for deposit entirely into the association’s under-funded current version of the reserve account, which funds the maintenance and replacement of the HOA assets, and payable in one lump sum of $300.00 or over two years at $150.00 per year or $37.50 per quarter. The motion was approved unanimously with amendments.
Why do we need reserves? Why the need for a special assessment?
Clint J. Warrell, General Manager These are both very good questions, and
questions that every member should ask before approving a special assessment and writing out a check for $300. I will break this down into two sections: the Reserve Study and the Reserve Account. Reserve Study In 2009 the Board of Directors hired
Great Boards, LLC, a professional reserve study provider, to conduct a reserve study for our association. Since then we have been fortunate to have Mr. Jim Fischer, Finance Committee chair, continue this tedious project,
saving the association the costs
of updating, and for that we owe him a magnitude of thanks! A reserve study is a complex document projects when
that they will cost and how much we numerous major
components—like the roof, parking lot or tennis court—will need to be replaced, what
need to set aside each year to pay for the various components at the necessary time.
Preparing it requires a unique combination of specialized engineering knowledge, a keen understanding of fi nancial projecting and savvy investing skills. Professional reserve study providers
are extensively trained before they are considered qualifi ed to perform competent reserve studies tailored for each community. These professionals have met stringent requirements and are held to high standards. They have a thorough knowledge of common interest developments, HOAs and community associations, and can provide the board with sound guidance. We prepared a request for proposal that specifi ed the reserve study must conform to the National Reserve Study Standards of the Community Associations Institute and our state law. The past and current Board takes its
fi duciary responsibility very seriously—we want to be good stewards of your money. By hiring these professionals

Tickets can be purchased at the Resource Center Arizona Room – Saturday, January 14, 2012, Time Line Band Bar opens at 6:00. Join Stacie and Peter along with their band. Peter preformed Phantom
of the Opera at Gammage Theater in Tempe and is going to sing some songs for us from the Phantom! Both were performers on the Lawrence Welk Show. Stacie is Miss North Dakota 1988. They perform all over the valley but have never been in any of the Sun Lakes communities. This is a fi rst time show. They are fun, friendly, and put on a wonderful show! Arizona Room – Saturday, February 11, 2012, Valentine’s Day dinner and dance. Dessert made by Brenda Hunter. Bar opens at 6:00, dinner begins at 6:45. Entertainment
with Steve Engle on the baby grand piano from 7:00-9:00 p.m. The cost is $35. Arizona Room – Thursday, February 23, 2012, Marty Berk’s Hilarious Comedy Show. Don’t miss out on the fun! Marty is very talented and funny. The bar opens at 6:00 and
the show is from 6:30-8:30 p.m. The cost is $15. Casino Overnight Trip to Laughlin - March 3-4. The cost is $50 for the bus. The Hotel Aquarius is $79 single and $39 double occupancy.
If you sign up we will be going. Currently we are planning on a 48-passenger bus; however, we may take a smaller bus or van, depending on the number that sign up. But we are going! If you would like to choose another hotel, that’s fi ne. Call Nancy Bush, activities manager, at 895-9270 ext 128.
