Whenever an incident of simple assault or violence oc- curs, a report shall not automatically be made to the lo- cal law enforcement agency. Instead, the building prin- cipal shall notify the parent(s)/guardian(s) by telephone, and confirm by a letter to the parent(s)/guardian(s) of all children directly involved. The letter from the building principal shall describe the incident, the seriousness and harm done or potential harm, and the School Dis- trict’s response and solution to the incident.

GRIEVANCE PROCEDURE
The School Board has adopted a procedure for ad- dressing complaints related to discrimination, which provides a method for prompt and equitable resolution. The School Board has designated the Director of Hu- man Resources as its Equal Opportunity (“EO”) Coordi- nator. The EO Coordinator shall oversee the District’s efforts in complying with all applicable discrimination laws and implementation of this grievance procedure.
Any complaints or alleged infractions of the District’s policy, federal and/or state laws, or regulations related to discrimination will be processed through the follow- ing grievance procedure: Level I: Bring the grievance to the attention (joint dis- cussion) of the parties involved, within ten (10) working days of the alleged grievance. If not settled at this point;
Level II: Bring the grievance before the immediate su- pervisor or the building principal within five (5) working days from the failure of settlement af- ter Level I. If not settled;
Level III: Bring the grievance before the District's EO Coordinator within ten (10) working days from the failure to settle at Level II. The EO Coordi- nator will document the grievance, conduct an investigation, and prepare a written deci- sion within ten (10) working days of receiving the grievance. If dissatisfied with the deci- sion;
Level IV:File the grievance with the School Board within ten (10) days. The School Board will sched- ule a hearing within thirty (30) days to review the EO Coordinator’s decision. The School Board shall prepare a written decision within
DISCRIMINATION
This procedure is for use by all staff, students, parents/guardians, or any persons wishing to file a grievance.
STUDENT RECORDS
The objective of the student record policy is to comply with the Federal Family Educational and Privacy Act of 1974 (FERPA), No Child Left Behind (NCLB) and Health Insurance Portability and Accountability Act (HIPAA) and to protect the rights and privacy of stu- dents and parents/guardians to assure the welfare of the child.
1. An accurate cumulative record shall be maintained on each student including “…but not necessarily lim- ited to, identifying data, academic work completed, level of achievement (grades, standardized achievement test scores), attendance data, scores on standardized, intelligence, aptitude and psy- chological tests, interest inventory results, health data, family background information, teacher or counselor observations and verified reports of seri- ous or recurrent behavior patterns.”
2. The principal shall be the records manager for the school and shall assume responsibility for maintain- ing and preserving confidentiality of school re- cords. He/she may, however, designate another school official to perform the duties of records man- ager. The records manager shall be responsible for reviewing and deleting information in each cumula- tive folder in accordance with District guidelines.
3. Records shall be made available in a reasonable length of time, but in no case more than forty-five (45) days after request has been made in writing to the records manager. The records may be- in- spected by the parents, guardians, and all students

ten (10) days of the hearing.
Level V: The grievant may file a complaint with the Federal Office for Civil Rights, Department of Education, Washington, D.C. 20201.
All grievance reports and decisions shall be in writing, in triplicate, one copy for each party and one to be placed in the EO Coordinator's file. Any grievance may be initi- ated at Level III if the complaining party reasonably be- lieves that pursuing the grievance through Levels I and II would be futile. No person will be subjected to reprisal of any nature for filing or participating in any grievance.
All time limits may be waived for due cause, or extended by mutual consent.
It is understood that the complaining party retains his/her rights under law, including, if applicable, the right to file a claim before the appropriate administrative agency or applicable court. Grievance complaints and their disposition are to be maintained in a file in the EO Coordinator's custody for a period of not less than three (3) years.
