Tour Operator: The Tour Operator referred to here- after is Petrabax/PTB Hotels.
TOUR PRICES: Our prices are LAND-ONLY pack- ages. All prices are based on rates known at the time of printing and are subject to increase without notice if such rates change prior to departure. Tour prices are per person, based on double occupancy. Single room supplements and triple room reduc- tions are listed where applicable.
RESERVATIONS/PAYMENT BREAKDOWN: A de- posit of $300 will be required at time of booking - except El Transcantabrico/Expreso Robla Rail Tours which require 40% of trip cost and the Running of the Bulls packages which require a deposit of 50% of trip cost. Final payment is due 45 days prior to the departure date from the USA (except Running of the Bulls package which requires final payment 90 days prior to arrival). No booking will be considered confirmed until deposit and/or full payment is re- ceived by the Tour Operator. It is the responsibility of the traveler (or his agent) to determine that final payment reaches the Tour operator on time. If pay- ments are not received within due time, Petrabax has the right to cancel the bookings without any liability. For bookings made within 45 days of de- parture date, full payment is due at time of booking.
CANCELLATIONS, CHANGES AND REFUNDS: Can- cellations and changes must be received by the Tour operator in writing. Changes and or cancella- tions must be made in writing directly with the Tour Operator by fax or email. Airfare: The airlines impose a change penalty of be- tween $300.00 and $400.00 on most tickets modi- fied after the ticketing deadline. Airlines may charge additional penalties and most tickets are non-re- fundable in case of cancellation. The Tour Operator will pass any airline ticketing penalties, plus a $50 per ticket fee for administrative expenses, on to the traveler. Air ticket penalties may be waived if the cancellation is the result of illness or death of the traveler or a member of his/her immediate family, and an official medical or death certificate is pro- vided; but this is not always the case.
Escorted tours: Cancellations received more than 45 days prior to departure will have a penalty of $50 per person; those received between 45 and 31 days will have a penalty of 25% per person; those received between 30 and 6 days will have a penalty of 50% per person. Cancellations received within 5 days or less before departure or “no shows” will receive no refund. No refund will be made for aban- donment of services. No refunds will be made for transfers, city tours or any other services (including meals, accommodations or transportation) volun- tarily not taken. Should Petrabax cancel a departure for any reason whatsoever, including insufficient number of participants, a full refund of all monies paid to Petrabax will be made.
El Transcantabrico Railtour: A 25% penalty, on the 40% deposit amount, applies to all cancellations. In addition the following penalties apply: Cancel- lations between 32 and 17 days - 50%, between 16 and 7 days - 75%, less than 7 days - 100% penalty applies.
Insurance: The Tour Operator highly recommends that each traveler purchase travel and cancellation insurance. Such insurance can be obtained sepa- rately through the Tour Operator website.
Changes: Travelers holding confirmed tour or ho- tel reservations may request a change of date to another Petrabax tour or hotel package of equal or greater value. Changes can be made up to 45 days before departure and are subject to availability. There will be a charge of $50 for such changes if accepted by the Tour Operator.
HOTELS: Hotels are classified by the Operator us- ing government ratings, which vary from country to
country. The Operator reserves the right to make substitutions with hotels of similar or higher ratings. Such substitutions may be made at any time and without prior notice. The Tour Operator cannot be held responsible for hotel over-bookings; should such occur, the Tour Operator will undertake to find similar accommodations in the same area. Ac- commodations are based on two persons sharing a twin-bedded room with private bath or shower, at the hotel selected or similar. A single room may be provided at an additional supplement. In many cases, single rooms, though assuring privacy, are small and not as well situated as double room ac- commodations. In addition, rooms are assigned upon arrival based on current availability and may vary in size, amenities and location. Generally, triple rooms in Europe consist of two beds with a rollaway set up for a third party. This may not be comfortable for some travelers. In the event a hotel substitution becomes necessary, a comparable class of hotel will be provided. Air conditioning is available at most 4-star or higher hotels. However, foreign air conditioning is not necessarily used according to U.S. standards. Some tourist-class hotels may have air conditioning available, and some may charge an additional supplement.
MEALS: Continental or buffet breakfast daily at your hotel, as indicated in the itineraries. Meals do not normally include beverages except coffee or tea with breakfasts.
TOUR PARTICIPANTS: On Escorted Tours there is no age limit. A handicapped participant who re- quires special assistance must be accompanied by a qualified helper who assumes total responsibility for the handicapped participant’s well being. Fur- thermore, most transportation services, including motorcoaches are not equipped with wheelchair ramps and for safety reasons passengers requir- ing wheelchairs cannot be transported. To assure congenial membership, Petrabax reserves the right to accept or reject any person as a tour participant and to expel from the tour, any participant whose conduct is deemed incompatible with the interest of the tour group. Any incurred expenses will be at the charge of the expelled tour participant.
SIGHTSEEING & ITINERARIES: Sightseeing is includ- ed as per the itinerary and is under the direction of licensed local guides where required. Entrance fees to all places visited are included where indicated. During holidays, some sights such as museums may be closed or unavailable for visits. Petrabax reserves the right to vary the sequence of sightsee- ing and/or to re-route the order of cities should cir- cumstances demand it. In either case, the itinerary content will be maintained; however, the order may change. Optional excursions are offered in most cit- ies. Your tour director will advise you of the optional excursions available on your tour, all of which must be purchased locally (cannot be charged on credit cards). There are no refunds for any unused portion of these excursions.
TOUR SERVICES: If the services included in the tour cannot be supplied, or there are changes in an itinerary for reasons beyond our control, we will arrange for the provision of comparable services. Any resulting additional expense will be payable by tour participants; likewise, any resulting savings will be refunded to the tour participants by Petrabax.
GROUND TRANSPORTATION: Is provided by private, air-conditioned coach or other conveyance as speci- fied in the itinerary. On our Escorted Tours the follow- ing rules apply: NO SMOKING and SEAT ROTATION.
TRANSFERS: Round-trip transfers are included where specified, from airports, piers and railroad stations to hotels while in Europe. Such transfers inclusion notwithstanding, passenger is responsible for punctuality on all flights and tour services, con- sequently lateness will be considered as NO-SHOW and no refund is allowed. passengers extending pre-and-post tour dates, or deviating from set schedule, transfers are not in- cluded, but may be provided at a supplement.
BAGGAGE HANDLING: Is included at most ho- tels our on MOTORCOACH TOURS, and includes handling of one normal size suitcase per person. Although airline regulations generally allow free of charge a maximum of two bags with combined length, width and height of 106 inches (economy) or 124 inches (first class); the Tour Operator will ac- commodate only one normal size suitcase plus one small overnight bag on motorcoach tours. Wheeled carry-on cases are considered a normal piece of luggage. Additional baggage will incur an additional charge, to be paid locally. In addition, Petrabax is not responsible in the event that luggage or tour participants’ belongings become damaged or lost, which occurrence must be promptly notified to, and acknowledged by recognized authority in writing.
TOUR ESCORT: As indicated in tour features, a professional bilingual tour director will accompany tours while traveling by motorcoach. Some tours may operate in both Spanish and English on the same motorcoach. In the unusual event that a group numbers less than 15 persons, the Tour Operator reserves the right to operate the tour in minibus or private car with a bilingual driver-escort, or by first class rail.
AIRFARES: For details on designated flights, airfare supplements or reductions and lowest applicable airfares, consult your professional travel agent or Petrabax at the time of booking. If passengers pur- chase non-refundable air tickets, Petrabax cannot be held responsible in the event a tour is cancelled for any reason whatsoever. It is the passenger’s responsibility to reconfirm all flights 72 hours be- fore flight time. Should the airline request, for any reason at all, an unexpected issuance of air tickets, they must be immediately paid in full regardless of any previous notification to passenger.
SEAT ASSIGNMENT: We suggest that tour partici- pants contact the airline directly, 3 to 6 weeks prior to departure for seat assignments.
PASSPORT/VISA: US citizens require a valid US passport. Citizens of other countries require a valid passport and may require additional documents. Such persons should contact consulates of coun- tries to be visited and obtain proper documents before departure. Passengers are responsible for ensuring that they have the proper documents and MUST CHECK with the respective consulates or visa agency to determine whether any visas are required. The Tour Operator assumes no liability for
lack of proper documents.
NOT INCLUDED: Transportation between home city and airport, porterage at U.S. gateways, air trans- portation airport taxes, customs fees, immigration fees, agricultural fees, and any other charges/fees imposed at airports, passport and visa fees, tips to Tour Directors, local city guides and motorcoach drivers, phone calls, laundry service and items of a personal nature, or sightseeing, services or meals other than those specifically mentioned in the bro- chure itinerary page.
RESPONSIBILITY: The Tour Operator and its agents act only as agents for the traveler’s hotels, res- taurants, sightseeing and transportation (such as railroad, aircraft, boat, motorcoach, automobile, or any conveyance). The Tour Operator and its agents shall not be responsible or liable for any injury, loss or damage, delay or inconvenience arising out of or in connection with any defect in any vehicle or any act, omission, neglect, accident, error or default of any company or person engaged in providing such hotel, restaurant, sightseeing, transportation or other services of the tour. The Tour Operator and its agents shall not be responsible or liable for alterations of the tour itinerary or arrangement, if such alterations become advisable or necessary for the comfort or well being of any passenger, or for any reason whatsoever. The right is reserved to withdraw any or all tours or portions thereof. The sole and exclusive responsibility and liability of the airline shall be in accordance with and as limited by the contract of carriage in the passenger’s ticket, the applicable tariffs, and provisions of the Warsaw Convention, if applicable. The airline shall not be responsible or liable for any act, omission or oc- currence not limited to hotel accommodations, res- taurants, guide services and transportation (other than the airline) that are furnished by contractors that are independent and that do not act on behalf of the airline, are not servants of the airline, and with whom the airline does not have any business relationships, as joint ventures or otherwise. Fur- ther, the airline shall not be responsible or liable in any way for the accuracy of representations of the Tour Operator and its agents on tour services other than those contained in the brochure. The services of any I.A.T.A.N. or A.R.C carrier may be used in the performance of these tours, and references to the airline herein shall be equally applicable to such I.A.T.A.N. or A.R.C. carrier. PETRABAX IS NOT RE- SPONSIBLE FOR ANY TYPOGRAPHICAL OR PRINT- ING ERRORS FOUND IN THIS BROCHURE.
