The challenge
The client is working with IBM and QA to upgrade their systems
to Microsoft Windows Vista and Office System 2007.
Going live on the 2nd June 2008, all of the IT users within the
client are moving to Office 2007 as part of this upgrade, with over
10,000 users becoming mobile users with new IBM laptops
provided. They will become hot-desk workers with the additional
flexibility of remote and home working. As part of this process a
new desktop image has been created utilising Windows Vista and
Office 2007, with users migrating from Windows XP and Office
2003. To ensure that the users have the skills to immediately work
with the new technology, IBM is working with QA to deliver
training sessions.
The solution
Training commenced in June 2008 centred in London. Each
30 group of users attends an hour-long overview session, while their
IT system is upgraded. The sessions ensure that when they
return to their desk they are able to log in to the new system.
The sessions are delivered 3 times a day, with up to 20 people
per session. They cover:

A demonstration of the new features of Windows Vista – such as the
Ribbon and Toolbar and the advanced search features, the Microsoft
button, Internet Explorer v7, Quick Access Toolbar and Mini Toolbar
and views and zooming
A demonstration of the new features of Office 2007, especially Outlook
2007
The Vista training includes best practice on where and how to save
both shared and personal data.
To provide further support on the return to the desk, QA has
already trained a group of ‘superusers.’ These individuals were
taken through a full Training Needs Analysis to establish their skill
level on each of the Office 2007 applications, and were then
taken through a training programme to bring their skills up to a
consistently high level (Level 3 in Microsoft Official Curriculum).
This has focused in particular on Microsoft Word, Outlook and
Onenote.
Early adopters have also benefited from one-to-one sessions,
which have given QA a clear picture of where skills need to be
developed. The sessions have also been tailored to the client’s
specific build, taking into account other IT products used and
policies and procedures. Training is also being provided for a
group of users with specific needs, working closely with a third-
party mobility group used by IBM.
QA is providing additional support to embed the new features,
including a Flash-based tool to demonstrate ‘live’ on the user’s
PC how to access the familiar features in Office 2007, as well as a
quick reference guide.
As the roll-out continues, the regular training schedule available
through QA to the client staff will include more in-depth training
on Office 2007 applications.
